The retail operating system

One engine for every retail decision.

Most retailers run four or five separate tools.

Search in one tool, pricing in another, ads bolted on top — nobody owns the order shoppers see, and margin leaks between them. The Unified Decision Engine governs relevance, inventory, margin and sponsored demand in one pass, on every surface, including the AI assistants now doing the shopping.

Start with one surface. Leave the rest of your stack untouched.

Retail Media Billing and Reconciliation Checklist

Reconcile retail media bookings, delivery, billable amounts, invoices and cash. Use a worked example with clear owners for credits, makegoods and disputes.

Retail media billing and reconciliation checklist

A booked campaign, delivered campaign, invoice and bank receipt describe different states. Reconciliation connects them through the same order, campaign and billing references. Make every adjustment explainable, assign an owner to exceptions, and prevent attributed product sales from being mistaken for media fees.

Keep each amount distinct

A booking records the commercial commitment. Delivery records the events or reserved periods supplied. The billable amount applies the agreed charging rules. An invoice requests payment. Collected cash records settlement. None should be substituted for another simply because the numbers sometimes match.

PA positions RevenueOS around this account-to-cash workflow. The connected delivery and finance systems must be confirmed for each deployment.

Join evidence before calculating an adjustment

Start with the signed order and its current amendments. Capture the advertiser, retailer, campaign, placement, flight, currency, timezone, unit price and billing definition. Match these to a dated delivery extract and a stable invoice reference.

Agree the source of truth for each field. Retain the extraction time and version because delivery data can change after the campaign closes. Deduplicate by the agreed event or settlement key rather than treating repeated exports as new delivery.

PA's SKU-level reporting documentation includes campaign, placement and product identifiers. It also distinguishes spend from sponsored revenue attributed to product sales. Those attributed sales are not the amount owed for advertising.

A synthetic reconciliation

Assume a £10,000 maximum booking, with all amounts excluding tax. The delivery system reports £9,000 at the contracted rates. Review identifies £500 of non-billable activity. The approved billable amount is therefore £8,500.

If £8,500 is invoiced and £8,000 is collected against that invoice, £500 remains outstanding. The £1,500 difference between the maximum booking and approved billing is unbilled capacity; it is not a receivable.

If the £9,000 invoice had already been issued before the adjustment, an approved £500 credit would reduce the net invoiced amount to £8,500. Keep the original invoice and credit linked rather than silently rewriting history.

Resolve exceptions with explicit ownership

AdOps should investigate delivery discrepancies. The commercial owner confirms contractual treatment and approved makegoods. Finance approves invoicing and settlement treatment. A disputed amount needs a reason, supporting evidence, accountable owner and resolution date.

Distinguish a financial credit from a replacement delivery commitment. A makegood might resolve an obligation without being a cash refund. Its treatment depends on the agreement, so do not apply an automatic rule from a generic template.

Close the loop without losing the audit trail

A useful close checklist confirms approved delivery, resolved or assigned exceptions, invoice references, credits, receipts and remaining balances. Preserve changes as traceable adjustments.

This workflow supports operational reconciliation. Accounting recognition, tax and contract treatment remain separate decisions for the responsible finance team. A campaign's booked value should not become recognised revenue merely because an operational dashboard displays it.

SYNTHETIC GBP excluding tax: maximum booking10000; reported delivery value9000; non-billable adjustment500; approved billing8500; net invoiced8500; allocated receipts8000; outstanding500. Unbilled booking headroom=10000-8500=1500, not receivable. Alternative timing: invoice9000-credit500=8500.

Frequently asked questions

Is booked retail media revenue the same as cash?

No. A booking is a commercial commitment, while cash reflects money received. Between them sit delivery, agreed billing rules, invoices, credits and outstanding amounts. Report the states separately so a strong booking pipeline does not obscure collection or delivery issues.

Can sponsored product sales be used as the invoice amount?

Not by default. Attributed product sales measure commerce linked to ads. The media invoice follows the contracted charging model, such as billable clicks, impressions, actions or tenancy. Use the correct event and rate definitions rather than substituting sales attribution for advertising fees.

Does this checklist confirm a specific finance integration?

No. It defines the workflow and evidence needed for reconciliation. Product and finance teams must confirm which delivery and accounting systems are connected, how identifiers map and who approves adjustments in the deployment being considered.
